UI/UX Design of Correspondence Management Information System Using Design Thinking Method (Case Study: PT Rekaindo Global Jasa (INKA Group))

Abstract
Advances in information technology encourage easy access to digital services, including in the management of company documents. At PT Rekaindo Global Jasa, the mail management process is still manual, causing obstacles such as distribution delays, tracking difficulties, and a less than optimal approval process. This research designs the UI/UX of the correspondence management information system using the Design Thinking approach through the stages of empathize, define, ideate, prototype, and test. Interviews were conducted to explore user needs, which were then formulated into user personas, how might we, flowcharts, and sitemaps. Low-fidelity and high-fidelity prototypes were developed and tested using the Maze platform and evaluated with the System Usability Scale (SUS). The results of testing through the Maze platform showed that all participants successfully completed the task according to their respective roles. The Maze Usability Score obtained was 71 for Admin, 62 for Supervisor, and 52 for Superadmin, with an overall average score of 61.6, which falls into the “Moderate” category. Meanwhile, the evaluation results using the System Usability Scale (SUS) showed a score of 80 for Admin, 85 for Supervisor, and 78 for Superadmin, with an overall average of 81 (“Excellent” category). This design is expected to support the document management process in a structured manner and is easily understood by Admin, Supervisor, and Superadmin.
